17 an hour 1 day ago 1 day ago 1 day ago Job Summary Highly responsible, skilled clerical and record keeping work in supporting the operations of the department requiring thorough knowledge of departmental operations; all other related work as required.
Supervision Works under the general supervision of the Town Collector.
Performs varied duties ranging in nature from routine to complex which require the frequent exercise of judgment and initiative but supervisor is normally available.
Must have essential people skills due to frequent contact with town officials, employees, banks, realtors, attorneys and the general public.
Job Environment Frequent internal contact with outsiders generally on routine matters, including contacts with irate outsiders.
Work is performed in a professional office.
Operates computer, spreadsheets and the cash stations.
Essential Functions Receive and process various payments; post journal entries; process lockbox files; issues demands and final notices.
Processes Police detail and Fire alarm billing; Create daily receivable charts; prepare weekly bank transfers; keep track of all ACH rejects and returned checks; initiate notices to individuals for collection of outstanding funds; Reconcile deputy collector fees; produce excise tax report and forwards to Deputy Collector for further follow up on outstanding excise tax delinquencies.
Schedules hearing appeal meetings for parking ticket violations Assist in processing payment batches needed which includes over the counter work and all other work as required.
Recommended Minimum Qualifications Associate degree in office administration or related field; four years responsible experience in administrative support and clerical duties or related field; or any equivalent combination of education, training, and experience.
Must have extensive knowledge of various software applications.
Ability to create and work with detailed spreadsheets.
Knowledge:
Thorough knowledge of clerical procedures and systems such as customer service, paper and electronic filing, use of office software.
General knowledge of bookkeeping.
Through on-the-job training and experience gains thorough knowledge of the activities of assigned department.
Ability:
to provide superior customer service by communicating in a clear, professional, and courteous manner.
Ability to operate various types of office equipment and software applications.
Ability to learn and retain specific information concerning department operations.
Skills.
Strong customer service and bookkeeping skills.
Skill in the use of various computer software programs.
Physical Requirements Minimal physical effort generally required.
Ability to operate a keyboard at efficient speed and sit at a computer for long periods of time.
Occasionally required to move boxes or files weighing up to 20 pounds.
Specific vision requirements include close vision and the ability to adjust focus.
