Responsibilities:
Responsible for the day-to-day managerial functions of the office; including, but not limited to:
personnel management, patient flow, clerical and clinical operations.
Plans, assigns, monitors and evaluates duties of employees.
Ensures all office operations are efficient and effective.
DUTIES:
Personnel Management:
Plans, supervises and coordinates functions of office personnel.
Organizes and assigns duties to staff employees related to all daily practice activities such as:
answering phones, scheduling appointments, patient registration, billing follow-up, and patient flow.
Coordinates all personnel aspects including hiring, management, payroll timesheets, scheduling, time off, key performance indicators, and disciplinary action (if necessary) and staff performance evaluations.
Communicates changes in office policies to employees.
Conducts new employee orientation and coordinates training.
Maintains up-to-date and accurate employee files.
Address employee challenges and concerns by maintaining strong communication, and being pro-active and responsive.
Records and maintains employee data including hours worked, sick leave, vacation days and holidays.
Prepares and submits timesheets for all office personnel to Practice Owner.
Reviews all invoices to verify the receipt of all ordered supplies/services and forwards invoices and other bills to the Practice Owner.
Practice Scheduling:
Coordinates the provider schedules.
Creates and maintains provider schedules in the practice Electronic Health System (EHS).
Ensures that provider capacity is maximized by proactively reviewing schedules Coordinates the patient schedule template and revises as necessary.
Operations:
System & Protocol Development Works with providers to ensure optimal efficiency of patient flow within the Practice.
Manages inventory of supplies and equipment for the office Coordinates issues related to information technology (IT) and the Electronic Health Record (EHR) with the IT vendor and EHR vendor as required.
Oversees and responds to patient complaints according to office protocol.
Maintains the confidentiality of patient, staff, and organizational proprietary information by developing, instituting and monitoring policies to ensure security and protect privacy, including but not limited to HIPAA.
Performs functions of the front desk, including check-in and check-out procedures as necessary.
Provides evening, weekend and holiday coverage as required.
Leadership and Administration:
Promotes organizational and individual success through ongoing support, encouragement, empowerment and effective teamwork to enhance staff loyalty and productivity.
Serves as a resource person and role model for the staff.
Carries out office management responsibilities in accordance with the organization's policies and applicable laws and directs any issues unable to resolve to the Practice Owner.
Maintains a presence within the Front Office and maintains an open line of communication with providers, employees and the practice owner With assistance from the Practice Owner, provides a mechanism to ensure compliance with all regulatory entities including HIPAA.
Including all record keeping requirements such as routing HIPAA training, Orientation, EHR user records and other HIPAA documentation requirements.
Delegates assignments as necessary.
Billing:
Coordinates services between the Practice and the billing company Work as a liaison with the billing company as necessary to address all billing issues.
Communicates any issues with providers, Practice Owner and staff as required.
Stays up-to-date on all billing and coding requirements and instructs providers as necessary.
Coordinates services between the practice and the credentialing service provider to ensure all providers maintain accurate and current credentialing with all participating insurance providers Job Type:
Full-time Pay:
$45,000.
00 - $54,000.
